THE ROLE_
The Front of House and Office Coordinator is a central figure in Talon’s London office, responsible for creating a welcoming, efficient, and safe environment for staff, visitors, and suppliers. This role reports to the PA/Office Manager for the UK business.
A DAY IN THE LIFE_
- Main point of contact for visitors, suppliers, and internal staff for the 3rd and 4th floor
- Oversee the day-to-day running of the office, ensuring efficiency and implementing procedures
- Ensuring coffee stations are fully stocked every morning and afternoon
- Ensuring sufficient levels of stationary and branded items for new joiners
- Manage office cleaning contract with Hive and housekeeper
- Ensure meeting rooms are set up and cleared away before and after meetings
- Order and maintain equipment, kitchen and office supplies
- Assist with onboarding, new starter breakfasts and provide first line support to employees
- Monitor and manage the office budget, expenses, and process invoices
- Assist with planning and organising events, meetings, and conferences
- Organise catering and drinks for breakfast and lunch meetings
- Manage databases and online filing systems
- Maintain relationships with vendors and suppliers
- Collaborate with IT to ensure smooth functioning of technology
- Maintain Reception / Office Handbook to include contacts, procedures etc for reception cover
- Oversee maintenance, repairs, and ensuring a safe and functional workspace including snagging list
- Supporting the PA/Office Manager with
- First Aid, Fire Marshal and risk assessment responsibilities
- Keeping notice boards updated with any office Health and Safety notifications and
certificates
- Ensuring health and safety regulations and procedures are up to date including maintenance of fire extinguishers, liaising with JCA to carry out regular fire drills and advise staff of safety procedures and the nominated fire wardens in the event of a fire
WHAT WE'RE LOOKING FOR_
A confident and helpful individual to be the first point of contact for all visitors and guests on arrival at Talon Outdoor UK. A natural and flexible multi-tasker with strong interpersonal skills including effective written and verbal communication skills. The ability to build strong relationships with people at all levels. A positive, can-do attitude - willing and able to adjust to multiple demands, shifting priorities and demonstrate flexibility and a desire to be an integral and central person for the UK business.
- Prior experience in a Front of House role
- Some office manager experience is preferable
- Provide a positive, front-desk experience for visitors and staff
- Proficient in Microsoft Office with excellent attention to detail
- A natural and flexible multi-tasker
- Strong interpersonal skills including effective written and verbal communication skills
- The ability to build strong relationships with people at all levels
- Positive, can-do attitude - willing and able to adjust to multiple demands, shifting priorities and demonstrating flexibility with an eager to help persona
- Desire to be an integral and central person for the UK business
